Our Key Privacy Principles

For the U Group, privacy isn’t just a matter of complying with legal requirements. Privacy is at the heart of our business model and everything we do. To that end, we are committed to the following five key privacy principles:

  5. User Control - You get to decide how your personal information is used, stored and shared.

“We,” “us,” “our” and “the U Group” refer to The U Group & Co Limited and its affiliated companies, including The U Group & Co Ltd. Consistent with the Key Privacy Principles outlined above, the following sections dive into the specific details of how we collect, use and share information about you, as well as your rights and choices about such collection, use and sharing. 

This Job Applicant Privacy Statement (“Privacy Statement”) describes how we handle and protect your data that we may collect in connection with our job applicant and recruitment processes and programs. This Privacy Statement supplements, and should be read in conjunction with, the U Group Privacy Policy.


What information do we collect

The U Group collects personal information from you in relation to current or future employment opportunities with us. Your personal information can be collected at any stage of our job applicant and recruitment process and may include:

  • Contact information such as your full name, email address, home address and telephone number.

  • Other personal information such as your gender, age, age range and photograph.

  • Professional history such as your previous employers, positions and work experience and employment references or referrals.

  • Educational history and qualifications such as your highest level of education, degrees, certificates or other education qualifications.

  • Financial information such as your desired salary, benefits, and expenses.

  • Background check information, with your consent (as legally required), we may choose to conduct a background check in connection with your application to verify professional history and qualifications or identify criminal history that may be relevant for a position with us. The results of these checks may include personal information we do not already have about you.

  • Other application and interview information such as any personal information you choose to share with us in your interview or application, CV, resume, or other supporting documentation or to help us coordinate requirements for an interview.

Some of this information may be deemed “sensitive” or “special categories” under applicable law. We will only process such information as legally permitted.


How do we use your information

We use information that we collect about you or that you provide to us, including any personal information:

  • To identify you as a potential candidate and review your application for a position with us.

  • To verify the information you provide in connection with your application.

  • To determine your eligibility for initial employment.

  • To facilitate the recruitment and interview process.

  • To communicate the status of your application.

  • To fulfill contractual obligations to you in the event you become a U Group employee.

  • To comply with applicable laws, rules, regulations, legal proceedings and government investigations, including relating to tax and immigration reporting/purpose.

In the case of external contractors, the information collected may be disclosed or used in connection with performing services for U Group under the relevant contract (i.e., for granting access to U Group resources, organising work, payment for services, and internal reporting). 

If you provide us with your resume or provide any personal information by email, on paper or in person, we will treat it as explicit consent to our use of your personal information as per this Privacy Statement and the the U Group Privacy Policy


How do we share your information?

We share personal information about you as follows:

  • Service Providers. We may share your information with our agents, vendors and other service providers (collectively "Service Providers") in connection with their work on our behalf. Service Providers assist us with services such as provisioning IT infrastructure, processing salary and benefits, coordinating travel and conducting background checks.. Service Providers are prohibited from using your information for any purpose other than to provide this assistance, although we may permit them to use aggregate information that doesn’t identify you for other purposes.

  • Affiliates. We may share your information with our related entities, including our parent and sister companies. For example, we may share your information with our affiliates to administer recruitment processes.

  • Merger or Acquisition. We may share your information in connection with, or during negotiations of, any proposed or actual merger, purchase, sale or any other type of acquisition or business combination of all or any portion of our assets, or transfer of all or a portion of our business to another business.

  • Security and Compelled Disclosure. We may share your information to comply with applicable laws or other legal process, and where required, in response to lawful requests by public authorities, including to meet national security or law enforcement requirements. We may also share your information to protect the rights, property, life, health, security and safety of the U Group, our services or any third party.

  • Consent. We may share your information for any other purpose disclosed to you and with your consent.


Your rights and choices

As we noted in our Key Privacy Principles, you have full control over how your personal information is used, stored and shared.

You may access, update, or remove certain account information that you have voluntarily submitted to us or we have otherwise obtained by either completing our Privacy Rights Request Form or sending an email to us at privacy@theugroup.co. Social Media Tools

Our recruitment process allows you to provide us with relevant personal data from information you have on third-party websites (such as LinkedIn). If you choose to incorporate your personal data from third-party websites, it will be used in accordance with this Privacy Statement.


International Transfers

The U Group is an international company, operating in multiple jurisdictions. Personal information we collect may be transferred to, stored or processed by us or our service providers in Australia, Brazil, the Philippines, the United States or any other country in which we or our service providers maintain facilities. We will ensure that any international transfers of personal information are subject to appropriate safeguards, such as approved standard contractual clauses or other means compliant with applicable global data protection laws. However, these laws may be less stringent than the laws in your country. By providing your information, you consent to such international transfer and processing. 


Data Security

We have implemented measures designed to secure your personal information from accidental loss and from unauthorized access, use, alteration, and disclosure.

Unfortunately, the transmission of information via the internet is not completely secure. Although we do our best to protect your personal information, we cannot guarantee its security. Any transmission of personal information is at your own risk. We are not responsible for circumvention of any privacy settings or security measures contained on our website or servers.


Data Retention

We will only retain your information for as long as reasonably necessary to fulfill the purposes specified in this Privacy Statement. Even if we delete some or all of your information, we may continue to retain and use aggregated or anonymous data previously collected so that it can no longer be used for personal identification and/or anonymize or aggregate your information. 


Changes to this Privacy Statement

We may revise this Privacy Statement at any time. Any changes will be effective immediately upon posting of the revised Privacy Statement  and updating the “last updated” date above. If the changes are material, we may provide you additional notice to your email address. You are responsible for ensuring we have an up-to-date active and deliverable email address for you, and for periodically visiting our website and this Privacy Statement  to check for any changes.
